Manage user data via synchronisation (SUS)
To ensure users are not added manually or via an import in Simulise, you can opt for automatic synchronization with the Student Administration System (such as SomToday or Magister).
If your SAS is not yet supported for synchronization, please reach out to servicedesk@simulise.com, and we will explore the possibilities with you.
With an active integration, a nightly synchronization takes place at 02:00, covering the following:
- All students and teachers linked to an active main or lesson group.
- All active main and lesson groups are added to the administration module under Groups, categorized by the correct school year.
- Main groups are placed under Groups.
- Lesson groups are placed under Composite Groups.
It’s possible to reorganize these groups into a new main group, even if we fully synchronize the structure. For more details on setting up your own structure, see: Setting up a group structure.
Manage users and groups
Since a nightly synchronization takes place, user management is not actively performed within Simulise. The management of users and groups is handled in the LAS/SAS with which the integration is established.
Giving users specific rights must be done in Simulise.
The User Overview displays when a user was last included in the synchronization to Simulise:
When a user is no longer included in the synchronization:
- No new updates: New changes to the user's details, such as being linked to a (new) group, will no longer be updated in Simulise.
- Removal from groups: If a user (both student and teacher) is no longer linked to a group due to being excluded from the synchronization, their account will be marked as removed in Simulise. Students will be marked als Alumnus to ensure login being possible.
- Filtering: Removed users can be located by applying filters in the user overview.
- Login restrictions: Removed users will no longer be able to log in to Simulise.
Restoring accounts: A removed teacher account can be restored. Once restored, the user will be able to log in again and will no longer be automatically removed by the nightly synchronization.
Grant access to specific groups
When an automatic synchronization occurs with the administrative system, all active users will receive an account in Simulise. However, if not everyone in your school uses Simulise, that’s not a problem. It is possible to grant access to Simulise for specific groups only. While all users are imported, not all users will be able to access Simulise.
