Users

All users within your environment can be found in the admin area. As an administrator, navigate to Manage and then to the Users module. Users can enter the Simulise environment in various ways:

  • From the SIS: Each night at 2:00 a.m., we import the latest data from your Student Information System (SIS). This import includes students and teachers linked in the SIS to (class) groups associated with the schedule.
  • Through an import: Students and teachers who have been manually imported into the Simulise environment.
  • Manually created users: Users who have been manually created directly within Simulise.

In the screen above, you can find the following details:

  • The user's name.
  • The user's role (student, teacher, or external).
  • Whether login via Single Sign-On is enabled.
  • Whether two-factor authentication (2FA) is set up for extra security.
  • Whether the account is activated.
  • The last login date of the user.
  • The last time the user was included in the nightly synchronization.

Through the blue square, the following actions can be performed:

  • Edit: Open the user's profile to view available changes.
  • Profile: Go directly to the user’s profile.
  • Login as: Log in as this user.
  • Reset and email: Reset settings and send an email.
  • Delete → Permanently delete the user.

Searching and Filtering Users

Do you want to search for specific users or apply filters to, for instance, assign extra permissions? You can use the search and/or filter function. Click the Filter button to open the usual sidebar for filtering options.

You can filter on:

  • Roles and Permissions of users (default Student and Teacher are active).

    If more than one checkbox is checked, all results where the criteria for at least one checkbox are met will be displayed. It’s an OR filter, not an AND filter.

  • User status (default active and inactive). This allows you to find accounts that have been moved to the "deleted" status.
  • Created in: Whether you are specifically looking for accounts created through synchronization or in Simulise (imported or manually created accounts).
  • Groups: Filter users who belong to specific groups.

Editing Users

Existing users in Simulise can be edited. Open the user you want to edit:

All of the above information can be modified, provided the account was manually created in Simulise. If an account is created through synchronization, this page is partially editable:

  • You can link groups to a user coming from synchronization. If the user is removed from the group in the LAS, they will also be removed from the group in Simulise. Afterward, if the user is added back to the group, they will not be removed from the group in Simulise.
  • Assign permissions to the selected user.
  • See who invited the user as an External viewer.

Activating Users

When creating users in Simulise, an activation email must be sent before users can log in. This activation email can be sent in two different ways:

  1. Via the user module: Select the user(s) in the user module and, at the bottom of the screen, choose Bulk -> Reset and mail. All selected users will receive (again) an activation email.
  2. Via the import module: Select the import action for the users to whom you want to send an activation email. Then choose Reset and Mail at the top of the screen.

For users arriving through synchronization and using Single Sign-On, Simulise does not store users' passwords. Therefore, an activation email is not required, but an introductory email is sufficient.


Deleting Users

When users have been manually created, they can be marked as deleted. Once an account is deleted:

  • The user will no longer be able to log in. The account must be restored before it can be used again.
  • A new account cannot be created for the user unless the account has been permanently deleted.
  • The user's portfolio will remain, unless the account is permanently deleted.

If nightly synchronization is used, accounts will be marked as deleted if those users no longer appear in the synchronization.


Restoring Deleted Users

When users who no longer appear in the synchronization are deleted and the account is restored, the following consequences apply:

  • The account will no longer be marked as deleted in the next nightly sync, since the account has been restored.
  • The account will remain linked to its respective groups.

If the user appears in the synchronization again, they will continue the normal process, meaning that if the user no longer appears in the synchronization at a later time, the account will again be marked as deleted.
