Import groups

If no automatic nightly synchronization is running with an administrative system, groups must be imported or created manually. By using an import, a large number of groups can be created in just a few steps. After importing the groups, users can also be imported and assigned to the created groups.


Create a File with the Groups

To import groups, a CSV file containing all the groups is required. The structure can include up to two hierarchical levels, such as year and class. The file format would look like this:

Tip: Make sure that the group names are the exact names that are also in the import file of users from the administration system. To do this, take the student file from the administration system as a basis and deduplicate it on the column containing the class. (Select the column with class and then in Excel choose Remove Duplicates for Data). Do this only for this column. You are now left with all the classes at school. Now copy this column to a new excel file)


Searchable – The value "1" in the Searchable field designates this as the highest level that participants in underlying groups can search within the Community. This enables group members to search for and find each other's updates in the community.
Examples:
  • If you want everyone within the faculty to be able to find everything that falls under this faculty during a search, check the box ONLY at the faculty level and not at the underlying (sub)groups.
  • If you want people to only find content of a child group during a search, put a check mark next to the relevant group.
Visible – A value of "1" for Visible ensures that this is the highest level that child groups will see in the community stream. Members of this group and all child groups can see updates from each other in the community.
For instance:
  • If you want everyone within the faculty to be able to see everything that falls under this faculty in the community stream, check the box ONLY at the faculty level and not at the underlying (sub)groups.
  • If you want people to only be able to see the content of a child group, put a check mark next to the relevant group.

Import groupfile

  • Navigate to the Administration Module
  • Select the Import module.

Fill in the following details:

  • Name (required): Provide a name for the import, making it easier to locate the activity later.
  • Type (required): Choose Groups as the type.
  • Data File (required): Select the import file. Three file types are supported: .csv, .ods,.xlsx.

Click on Continue to upload the file. You will be redirected to the data mapping screen, where fields in the import file can be matched to the corresponding fields in Simulise.

Match the correct fields in Simulise to the appropriate columns in the import file. Once done, click Save and Continue. When the groups are created, you will receive a notification. Progress can also be monitored in the Import module.

Moving Imported Groups

Imported groups are placed under a main group by default. If a mistake was made or changes are needed later, there's no need for a new import. Groups can be moved as follows:

  • Click the blue square next to the group in the group overview.
  • Select Edit.
  • Navigate to the Move option and select a new main group.
