Starting with locations

Schools that have multiple branches (locations) or offer multiple programs within a branch can use the Location module.

By default, the location module is disabled in an environment. If you would like to start using the location feature, please contact servicedesk@simulise.com.

Locations add an additional filtering layer to all modules in the library. Users are linked to a location and will only see the items in the library that are associated with their location.

It remains possible to filter and find items from other locations as well.

Creating Locations

To create locations, the module must be active in your environment:

  • Navigate to the Administration module.
  • Select the Locations module.
  • Choose Manage Locations.

The term "locations" can be customized as needed. To do this, go to the Locations module, click the blue square at the top, and select Edit. You can then rename the term locations.

  • Active: Determine whether the location is active immediately. An inactive location cannot be used.
  • Name (required): Give the location a name, such as (school name) - (branch).
  • Description: Provide a short description of the location, if desired.

The name and description can also be written in English, allowing you to control the translation. If a user has their language preference set to English, this will be displayed.

  • Parent Group (required): Link the location to a main group. All underlying groups and users will then be linked to this main group.

A main group is a group under which at least one other group falls.

  • Labels: Select labels to be associated with this location. This can also be done later.

Linking Locations to the Library

When the locations module is enabled, it is mandatory to link locations to items in the library. The created locations, which are active, can then be used to establish the link.

When creating an assignment, lesson plan, rubric, template, or competency, the user can choose from the locations they are a member of. A user is a member of a location when they are part of a group that is linked to a main group, which is in turn linked to a location.

If you later start using locations, users will initially not be able to find any items in the library without filtering. This is because the existing work is not linked to a location. To resolve this, you need to set the filter to show all locations. Select a specific item, click Edit, and then link the location.
